Use the same spelling for the applicant’s name across every file. Avoid vague names such as scan1.pdf, new document.pdf or final-final.pdf.
Produce a readable scan
Before saving the file, check that:
- All edges and required pages are visible
- Text, stamps, numbers and photographs are readable
- The document is upright
- There are no fingers, shadows or unrelated objects in the image
- The file opens correctly
- The format and size follow the applicable official instructions
Separate applicants clearly
For families, create one main folder per person, then use matching subfolders. Shared household documents can be kept in a clearly labelled shared folder rather than duplicated without explanation.
Preserve originals and track updates
Do not overwrite an older version when the history may matter. Include the expiry or issue date in the filename and keep the most current file easy to identify.
